Information we receive
Our contact form asks for your name, email address, selected service line and enquiry. These fields are required to submit the form. Your company and project location are optional. If you contact us by email, we also receive the information and any attachments you choose to send.
Providing information is voluntary, but we need enough detail to respond. Please share only information relevant to the support you are seeking. The form does not accept file attachments.
Why we use it
We use this information to respond to enquiries, discuss potential assignments and manage related business correspondence. We rely on our legitimate interests in communicating with prospective clients and running our consultancy. Where we take steps at your request before entering a contract with you, or fulfil that contract, we may rely on contractual necessity. We may also retain information to meet legal obligations.
We also use limited technical information to verify form submissions, prevent spam and protect the website. We rely on our legitimate interests in maintaining a secure, usable enquiry service.
We do not sell enquiry details or use them for mailing lists, marketing, or automated decisions that have legal or similarly significant effects. Automated security checks may reject suspected spam.
Service providers and sharing
We use Cloudflare to host this website, Resend to deliver contact-form enquiries, and Microsoft 365 to administer our receiving mailbox. These providers process the information needed to operate the website and deliver and manage enquiries. Necessary technology providers may process information on our behalf. We may share relevant information with professional advisers or authorities where needed for an agreed assignment, legal obligation or the protection of legal rights.
Human verification is provided by Cloudflare Turnstile. It processes technical information about your browser, device and network connection to help distinguish genuine visitors from automated submissions. The verification process does not receive the contents of your enquiry from our form. Our technology providers may process information outside the UK, including in the United States. Resend stores email content and delivery records in the United States. Relevant transfers are covered by applicable UK safeguards, including contractual provisions such as the UK Addendum to the standard contractual clauses where appropriate. You can contact us for information about the safeguards relevant to your enquiry.
How long we keep it
We keep enquiry information for as long as reasonably needed to respond, follow up and maintain necessary business records. We determine the retention period by considering whether an enquiry leads to an assignment, whether correspondence remains relevant, and any applicable legal or contractual recordkeeping requirements. We delete or anonymise information when it is no longer needed.
Under our current provider arrangements, Cloudflare retains operational website logs for three days, and Resend normally retains email content and delivery logs for 30 days. These periods are separate from the business correspondence we retain in Microsoft 365 under the criteria above. Other provider security records and backups follow their respective published retention policies.
Using this website
The contact form sends your enquiry securely to MarTec’s receiving email address. Email links elsewhere on the website open your own email application. We do not add analytics or advertising trackers.
Hosting, delivery and security providers may process information such as IP addresses, browser characteristics, verification results and delivery records to operate and protect these services. We use submission limits and spam checks; suspected automated submissions may be refused. These security records are used for operating and protecting the enquiry service.
Your rights and questions
Depending on the circumstances, you may request access, correction or deletion of your personal information, restriction of its use, or a copy in a portable format. You may also object to processing based on legitimate interests.
